Scheduling Efficiency: Our routes are carefully planned to maximize time and minimize travel. Late cancellations leave gaps that can’t always be filled. Fairness to Other Customers: With proper notice, we can offer your spot to another customer waiting for service. Technician Time: Our team prepares daily schedules and loads equipment in advance. Last-minute changes disrupt efficiency and increase costs. Keeps Costs Down: Service call fees for missed/late cancellations help offset the lost time and resources — and prevent price increases for everyone.
💧 What is a “Point of Connection”? A point of connection is where your irrigation system connects to a water source. Most homes only have one point of connection (for example, the outdoor tap or valve in your basement/utility room). Some systems, however, are designed with more than one connection — for example: A front yard system connected to one tap, and a backyard system connected to another. A system with a separate water supply for garden beds or a dedicated line for drip irrigation. Each point of connection must be winterized separately to ensure the entire system is protected, which is why there’s an additional charge. 🏠 Reasons Indoor Access May Be Required: Drain Valve or Bleeder is Inside - Some systems have a drain or bleeder valve indoors (often near the water meter or shut-off). This must be opened to release water and prevent freezing inside the house. System Design is Split Between Indoors/Outdoors - In certain installs, the irrigation system has multiple tie-ins, some of which are accessible only from inside. Customer Request - Assistance is needed to shut off water. 💧 Why We Ask Customers to Turn Off Water in Advance: Prevents Delays & Missed Steps: Having the water off before technicians arrive ensures the system is ready to winterize. If techs arrive and water is still on, it causes delays, rescheduling, and extra fees. Helps Customers Remember: By setting the deadline as Sunday evening, it gives a clear and simple cutoff point each week. Customers aren’t left scrambling the morning of their appointment. Protects the System in Case of Early Freezes: If temperatures drop suddenly before the appointment, the system is already isolated from the water supply. This reduces the risk of damage while waiting for service. Supports Efficient Scheduling: Techs plan routes tightly — if water is on, they can’t complete the service and must come back later. The Sunday cutoff helps keep the whole schedule on track. ❄️ Why We Suggest Winterizing While the Weather is Still Good. Reduces Risk of Freeze Damage: Early cold snaps can happen unexpectedly. Winterizing while the weather is still mild ensures your system is safe before freezing temperatures hit. Keeps Scheduling Flexible: When the weather is good, we can plan routes efficiently and keep customers close to their preferred dates. If you wait until the last minute, availability is limited, and you may face delays. Avoids Emergency Fees: Systems booked late (after compressors are returned) may be subject to a minimum $250 late-season fee. Booking early saves you from those extra costs. Peace of Mind: Getting it done early means you don’t have to worry about sudden weather changes or schedule crunches. ❄️ Why InstaRain Is Not Liable for Freeze Damage Unpredictable Weather: Early cold snaps can happen suddenly, even in September. Once temperatures drop below freezing, exposed irrigation lines may already be at risk — regardless of when the service is booked. Customer Responsibilities: Customers must shut off their irrigation water before their appointment. If water is left on or access isn’t available, the system can’t be properly winterized in time. Booking Delays: If customers wait until late in the season (after compressors are returned), winterization may not be possible or may require emergency service at higher cost. Damage from delays is outside of our control. Industry Standard: No irrigation company can guarantee against freeze damage, since it depends on timing, system condition, and weather events. Winterization reduces the risk, but cannot eliminate it.
Efficient Route Planning We group appointments by neighborhood/area to make the best use of time and fuel. This means we may shift your appointment date slightly so technicians can service systems in the same area on the same day. Weather Considerations Sudden changes in weather may force us to adjust routes to prioritize certain areas or systems sooner. Unpredictable System Needs Some systems take longer than expected due to repairs, extra zones, or access issues. This can cause scheduling adjustments for following appointments. Fairness to All Customers By treating dates as “preferred,” we can keep customers within the same week they chose while still ensuring routes are efficient and everyone gets serviced before freezing conditions arrive.
